Set the framework

Agree on the budget and who approves payments.

Funding paperwork is easier to follow when everyone uses the same budget, knows which documents are needed and understands who can approve a payment. We agree on those details with you and the people funding the project.

Fund Control Management supports our main Project Management and Construction Management services. Our role is to track records and follow up on reviews. We do not hold project money or approve funding on our own. Your capital provider, bank or escrow company holds the funds and handles payments.

The budget
The agreed costs, money set aside for unexpected expenses and changes approved so far.
The funding
The private investors and other capital providers involved, required owner contributions and conditions for payment.
Approvals
Who checks the paperwork and progress, approves changes and authorizes payments.
Updates
When requests are submitted, how records are kept and who receives updates.

How a funding request moves

Follow the paperwork from request to payment.

  1. Organize the request

Record the amount requested and the work it covers. Gather invoices, payment applications, progress reports and any required lien waivers using the agreed checklist.

  2. Check the paperwork

Compare the records with the budget and earlier requests. Highlight missing documents, possible duplicates and cost differences for the responsible people to explain.

  3. Follow the reviews

Track questions and required approvals with you, your contractor, capital provider and other appointed reviewers. The people hired for inspections and technical checks remain responsible for that work.

  4. Track payment approval

Keep approval status current and follow up with the capital provider, bank or escrow company. That company releases the funds after the required approvals.

  5. Compare and update the records

Compare approved requests with reported payments and remaining budget. Track amounts held back until completion and agreed costs, and flag records that do not match.

Know who does what

Make each person’s responsibility clear.

Project decisions
You and the other people named in the project agreements approve the work, budget and costs assigned to you.
Checks on construction
Qualified inspectors, contractors and design professionals provide the progress checks and technical approvals required of them.
Funds and payments
Your capital provider, bank or escrow company holds the money and makes payments through the agreed approval process.
Stone Oak’s role
Organize the records, follow approval status, coordinate questions and keep the budget and payment updates clear.

Before we agree to help, we confirm the client, any competing responsibilities, capital provider acceptance, timing and who can approve each step.
